File Clerk/ Associate Administrative Assistant

DESCRIPTION OF DUTIES The File Clerk/Associate Administrative Assistant reports to the Administrative Assistant for Fiscal Affairs. He/she is responsible for maintaining the central file area for the Business Office and Accounting area.
SPECIFIC JOB RESPONSIBILITIES:
Maintain, add new material and create new records for contracts, legal, real estate and misc files.
Find and retrieve information from files in response to request.
Sort and/or classify information according to the guidelines such as contents, purpose user criteria or chronological, alphabetical or numerical order.
Handle confidential documents and matters for the division.
Provide general office support by assisting with data entry, copying, serving as receptionist and other duties assigned within the scope of this position.

| QUALIFICATIONS
High school graduate required. The successful candidate must be knowledgeable of computer and office machinery. Must be knowledgeable of office practices and procedures; well-informed of grammatical rules, spelling and language usage; and must exhibit a high degree of confidentiality. Must be able to communicate effectively orally and in writing; provide exemplary customer service; and work with a team. Previous secretarial/clerical experience working with confidential documents is required. Data entry experience is strongly preferred.
