DESCRIPTION OF DUTIES DUTIES AND RESPONSIBILITIES: The Administrative Assistant will report to the Assistant Vice President for Fiscal Affairs (AVPFA). He/she will be responsible for providing general administrative support to the AVPFA. Specific responsibilities entail processing and accurately logging incoming/outgoing mail and faxes as well as departmental charges; assisting in the preparation of correspondence and reports needed by various Accounting personnel; maintaining all office files; assist in mailing processed checks; assist in the maintenance/distribution of all Fiscal Affairs Office forms, i.e.: budget requests, Jenzabar access; expense reports, leave forms, travel requests, travel reimbursements, TEA, PRF’s, etc. The Administrative Assistant orders office supplies; prepare the monthly Admissions Tax report; prepare requests for Exxon, BP and telephone charges; log in accounts payable checks; assist with the distribution of refund checks; make copies and distribute pertinent information to various departmental areas. He/she will perform the Fiscal Affairs Administrative Assistant’s duties in her absence, special projects and other duties as assigned by the AVPFA.

| QUALIFICATIONS
An Associate degree in secretarial science or related field is required. One must be knowledgeable of office practices and procedures; proficient in computer skills and database application and exhibit a high degree of confidentiality. Must be able to communicate effectively orally and in writing; provide exemplary customer service; and work with minimum supervision, organize projects, records and assignments; and coordinate a variety of tasks. Previous secretarial/clerical or related experience is required.
