DESCRIPTION OF DUTIES

The Secretary for the Department of Mass communications will report to the Chair of the C\Department.  The Secretary will maintain copies of meetings/minutes and prepare all documentation necessary as the Department prepares for accreditation.  The Secretary will assist the Chair in managing the budget, maintain personnel files of faulty and staff, and keep a detailed inventory of all department equipment.  The position also requires the following:  process general mailings; prepare briefings; process payment requisitions; order supplies as needed and develop a database for all on-going projects.  He/she will also assist in annual budget preparation as necessary.  The Secretary may perform other duties as assigned by the Chair.

QUALIFICATIONS

An associate degree in Secretarial Science or a related discipline is strongly preferred, Applicant must be proficient in database management.  Experience in program support involving Microsoft Office programs is required.  Applicant must have excellent written and verbal communications skills and be able to work with minimum supervision.  Candidate must understand university policy and procedures and be able to work independently and coordinate a variety of tasks within the department.  Experience using the Jenzebar operating system is desirable. Previous experience as a senior level secretary with university work experience is preferred.
