Faculty and Staff Responsibilities Confidentiality All faculty and staff are considered school officials and are required by law to maintain the confidentiality of student records. The release of any non-directory information (including course grades, letters of recommendation, GPAs, etc.) to any person outside the University community—or to University personnel without a legitimate educational interest—violates federal and state law, as well as University regulations. All University faculty and staff are responsible for protecting the confidentiality of this information.
Definitions Key Terms Student At Claflin University, the instant a student registers for classes, their educational records become protected under FERPA. Educational Records Records directly related to a student and maintained by the institution, or by a party acting for the institution. These records do not include the exceptions listed below. Educational Records: Exceptions Personal records of instructional, supervisory, administrative, and certain educational personnel that are in the sole possession of the maker and are not accessible or revealed to any other individual. Records relating to individuals who are or have been employed by the institution, made and maintained in the normal course of business, relating exclusively to individuals in their capacity as employees, and not available for any other purpose. Records maintained by Claflin’s law enforcement office (Campus Police) that were created for the purpose of law enforcement. Records relating to a student that are: Created or maintained by a physician, psychiatrist, psychologist, or other recognized professional/paraprofessional acting in a professional capacity Used solely in connection with providing treatment Not disclosed to anyone other than individuals providing such treatment, provided the records can be personally reviewed by a physician or other appropriate individuals determined by Claflin University Alumni records containing information about a student after they are no longer in attendance and that do not relate to the person as a student.
